Terms & Conditions


1. Parties
These Terms and Conditions (“Agreement”) are entered into between:

The nominated wedding coordinator, a Sole Trader, with their place of business at Brympton House, Somerset, BA228TD (hereinafter “referred to as the Planner or Coordinator”) and the Client ('you').
Both parties agree to be bound by the terms set forth below.

2. Scope of Services
The Planner or Coordinator shall provide wedding‑planning and coordination services as described in  Exhibit A below.  Any services not expressly listed in Exhibit A (e.g. supplier selection and negotiation (caterers, photographers, florists, etc.), budget tracking and expense management, or guest services will require a separate written agreement and will incur additional fees.

3. Fees & Payment
Deposit: £400 -  Upon booking
Service Fee £400 - Due 3 months before the event
All payments shall be made via bank transfer.
Late payments incur a [5%] monthly interest charge after a [14-day] grace period.
The Planner and/or Coordinator reserves the right to suspend services for non‑payment until arrears are cleared.


4. Cancellation & Refunds
If the Client cancels less than 3 months before the wedding date,100% of paid fees will be retained; if the Client cancels more than 3 months before the wedding date, the remaining balance (i.e. not including the planning payment of £400) will be refunded within 28 days
Force Majeure (acts of God, natural disasters, pandemics, etc.)    Not applicable   Neither party liable; fees prorated based on work completed, with refunds where appropriate
All cancellation notices must be submitted in writing (email acceptable).

5. Client Responsibilities
Provide accurate, complete information regarding preferences, guest counts, and timelines.
Make timely payments as outlined in Section 3.
Failure to meet these responsibilities may result in delays, additional costs, or termination of this Agreement.

6. Intellectual Property
Any custom designs, mood boards, or planning documents created by the Planner/Coordinator remain the Planners/Coordinator’s intellectual property unless expressly transferred in writing.
The Client receives a non‑exclusive, royalty‑free license to use such materials solely for the purpose of the wedding event.


7. Confidentiality
Both parties agree to keep confidential any proprietary or personal information disclosed during the course of this engagement, except as required by law or necessary to fulfil the services.

8. Liability & Indemnification
The Coordinator acts as a facilitator and is not liable for the performance, quality, or actions of third‑party vendors or of the venue itself.
The Coordinator’s total liability for any claim arising out of this Agreement shall not exceed the total fees paid by the Client.
The Client agrees to indemnify and hold harmless the Coordinator against any claims, damages, or expenses resulting from the Client’s breach of this Agreement or negligence.


9. Governing Law & Dispute Resolution
The laws of the United Kingdom shall govern this Agreement.


10. Amendments
Any amendment or modification to this Agreement must be in writing and signed by both parties.

11. Entire Agreement
This document, together with Exhibit A (Statement of Work), constitutes the entire agreement between the Coordinator and the Client, superseding all prior oral or written communications.

Exhibit A – Statement of Work

WEDDING PLANNER - 10 hours

Initial Consultation (1-hour Zoom)

  • Review your booking package and any add‑ons

  • Walk through the Supplier Hub & Approved Suppliers pages

  • Present a sample hour‑by‑hour wedding day schedule

  • Discuss night‑before options

  • Capture your vision for the day

  • Confirm payment details and outline next steps

3  Months Before the Wedding

  • Finalise supplier selections (most should be confirmed)

  • Review selections together before you submit the online form

  • Schedule an on‑site meet‑and‑greet to assign bedrooms

  • Verify night‑before availability (if adding a B&B stay) and put the client in touch with the wedding office to finalise the arrangements

  • Compile the Wedding Day “Top Sheet” and sign it off (running order)

Wedding Day 

WEDDING COORDINATOR - 10 hours

  • Approx 2 weeks before the big day - Arrange a 'meet and greet' or 'catch up' Zoom call to introduce herself/make any final adjustments/amendments to the wedding day top sheet

  • Arrive at 10 am on the wedding day to inspect the venue and booked bedrooms

  • Oversee guest check‑in starting at 12:30 pm

  • Coordinate with the registrar for civil ceremonies (legal requirement)

  • Ensure the day follows the planned timeline

  • Manage and supervise all suppliers, including check‑ins

  • Conduct a 6 pm check‑out with you after handover to the evening event manager

  • Check out day - help to locate and collate any personal items brought on site; final goodbyes to the new Mr and Mrs!

 

Additional coordination and/or planning hours are charged at £50 per hour.

A block of 4 additional hours is charged at the special rate of £160

A complete private planning service is available from £1500, depending on requirements
